Dear Parents and Carers,
Summer Fair Cancellation
I am writing to inform you that, following careful consideration, we have made the difficult decision to cancel tomorrow’s Summer Fair.
This decision has not been taken lightly. We fully appreciate how disappointing this news will be for our children, families and our PTA, who have worked incredibly hard over many weeks to organise the event. We also recognise that the PTA has already incurred significant costs in preparing for the fair, and that this cancellation will have an impact on the valuable funds they raise to support our school.
However, with a Red Extreme Heat Warning now in place and extended to the evening of Friday, we have a responsibility to ensure the safety and wellbeing of everyone in our school community. National advice warns that these conditions present a significant risk to health, even for otherwise healthy people, with temperatures expected to reach exceptionally high levels.
As you know, we have kept the school open throughout this week’s heatwave by implementing a range of protective measures, including keeping children indoors for much of the day, ensuring they remain well hydrated and avoiding unnecessary exposure to the sun. The Summer Fair, however, would require children, staff, volunteers and families to remain outside on the school field for more than four hours. Under the current Red Warning, we do not believe it would be safe or responsible to proceed.
Whilst we know this will be disappointing, the safety of our children, staff and families must always remain our highest priority.
We are already working with the PTA to minimise the impact of this cancellation. Between now and the end of the academic year, we will look to organise a number of smaller fundraising events where appropriate. In addition, we are discussing the possibility of holding a larger event in September to help make up for the funds that will unfortunately be lost as a result of today’s decision.
On behalf of the school and the PTA, I would like to thank everyone who has volunteered their time, donated prizes, prepared stalls and supported the planning of this event. Your continued support is greatly appreciated, and we look forward to welcoming everyone back together at future events under much safer conditions.
